Director of Operations

Job description

The director of operations and administration will be an integral part of a small team helping ICWA manage its internal operations, fellowship offerings, meeting and event coordination, and governance. Additional duties will include development support, communications and social media outreach, other various administrative duties. Ideal candidates will enjoy having a diverse range of responsibilities, take initiative in helping build our outreach, and have strong writing and copyediting skills.

Reporting directly to the Executive Director, the duties of the Director, Operations & Administration include:


• Oversee all administrative, legal, insurance, and financial aspects of the ICWA fellowship program
• Manage fellowship application process and timeline
• Coordinate the launch, recovery, and DC Residency of fellows
• Support social media outreach and marketing (Facebook, Twitter, Instagram, LinkedIn, LinkTank, etc.)
• Direct all meeting and event planning
• Maintain annual ICWA calendar of events


• Coordinate general fundraising activities with the Development Director and Executive Director
• Assist with a overall development calendar ensuring deadlines and goals are being met
• Help maintain a general development prospect database
• Provide general development assistance in the form of document creation and preparation
• Work with the Development Director in coordinating and executing vendor contracts for the development program
• Assist in the preparation of development materials for meetings, fundraisers and donor/prospect centric events


• Administer all financial matters of the foundation, a 501c(3) organization
• Serve as the principle staff liaison to the Finance Committee and attend committee meetings
• Assist with annual budget preparation in coordination with the Executive Director and Treasurer
• Oversee and support bookkeeper
• Perform light bookkeeping tasks and report generating (QuickBooks)
• Reconcile donations between the general ledger and development database
• Review and approve all expense statements for payment
• Co-sign with the Executive Director all checks and other legal document at that require a second signature or the signature of the treasurer
• Ensure proper documentation and acknowledgement of income, including donations


• Manage all human resources functions of the organizations
• Oversee Program Assistant and Director of Development
• Database oversight (Donor Perfect, Constant Contact, etc.)
• Administer employment benefits and retirement program
• Regularly review and update Employee Handbook
• Maintain paperwork for compliance with state and federal laws for employees in states located
• Provide operational governance oversight
• Serve as staff liaison for the Board of Trustees and other standing or specialty committees
• Oversee internship program
• Manage the physical office space, outsourced IT support staff, and other outside vendors including building lease management and insurance broker
• Manage the sublease of unused office space
• Other duties as assigned
